1. Who we are

Proofroom operates the service at proofroom.ai. For operator contact and public accountability channels, see the Imprint. Privacy requests: support@proofroom.ai.

2. What we process

  • Account data: email, OAuth profile fields, organisation name.
  • Proof room metadata: room names, declared scope, claim review fields.
  • Evidence events and Action Receipts you submit (hash-chained). Treat event payloads as potentially containing personal data you choose to include.
  • API key metadata (hashes, last used) — plaintext keys are shown only at issue time.
  • Support messages and security disclosures.
  • Technical logs: request timing, auth failure codes, IP-derived signals for abuse.

3. Purposes and legal bases

We process data to provide the registry (contract / steps prior to contract), to secure the service and prevent abuse (legitimate interests), to meet legal obligations, and — where required — with consent (e.g. optional marketing bulletin subscription when offered).

4. Public rooms

If you claim a room as public, structural evidence fields and approved text appear on a public URL. Do not put personal data in public fields unless you have a lawful basis to publish it.

5. Retention

Evidence chains are intended to be durable and append-only. Unclaimed draft rooms may auto-expire. Account and support data are retained while the account is active and for a reasonable period afterward for disputes, security, and legal retention. See Plans and retention.

6. Processors

Infrastructure typically includes hosting (e.g. Vercel), database (Supabase), email (Resend), and similar subprocessors required to run the product. A current subprocessor list can be requested at support@proofroom.ai.

7. Your rights (EEA/UK)

Subject to applicable law, you may request access, rectification, erasure, restriction, portability, and objection. You may lodge a complaint with your supervisory authority. Hash-chained public evidence may limit what can be erased without breaking integrity guarantees — we will explain options case by case.
